Broadcast Email — How It Works

Overview

Send personalized emails to all classmates or a filtered group, via either of two send methods (see below).

Step by Step

  1. Load a saved template (optional) or write your own subject and body.
  2. Choose your audience — All, Attending, Not Checked In, etc.
  3. Add merge fields anywhere in the body to personalize each message.
  4. Choose Send via — Resend or Gmail (see below).
  5. Click Preview to see the recipient count and rendered email.
  6. Click Send Test — a copy goes to your own inbox.
  7. Review the test email, then click Send to Class.

Resend
From committee@bhs1977reunion.com. Free tier caps at 100 emails/day — sending to more than that at once triggers a warning to use Plan Campaign instead.
Gmail
From 50thbhs1977reunion@gmail.com. Higher daily ceiling (500/day) and sends in small batches (15 at a time, 10 minutes apart) to stay under Gmail's own rate limits.

Plan Campaign

For an audience larger than the daily limit, click Plan Campaign instead of sending directly — it splits the send into dated batches you track from the Campaigns panel below the compose form. After you manually send the first Gmail batch, the rest send themselves automatically about 10 minutes apart — this happens on the server, not in your browser, so it keeps going even after you close the tab or the app. Use the campaign's Pause button if you need to stop it, and Resume to pick back up; Cancel stops it permanently. Resend batches are unaffected — those stay one manual click per day, same as before.

Merge Fields

Each recipient's personal hotel confirmation link — lets them select their nights without logging in. Use with the Hotel Email Recipients audience.

Audiences

Standard filters (Attending, Checked In, etc.) are based on classmate fields. Hotel Email Recipients targets only classmates who have already received the hotel confirmation email — useful for follow-ups and the mobile-fix apology. Unpaid Registrants targets classmates who registered but haven't paid yet — it automatically excludes anyone comp'd by the committee, so a comp'd classmate never receives a "you haven't paid" email.

Quick Email

The field in the top-right lets you email a single classmate by name without changing the audience or template.

Unconfirmed Emails

An email address is "unconfirmed" if it's on file but the classmate has never logged in to verify it. Emails are still sent, but delivery isn't guaranteed.

⚠ Always send a test first. Once Send to Class is clicked, the emails cannot be recalled.
