Strategy Notes

Captured April 2026 — guidance on meeting cadence, town halls, and broadcast timing.

Committee Meeting Cadence

  • Week of May 5–9, 2026 — Site walkthrough session. Show the live site end-to-end, demo the broadcast email tool, walk through veterans honor roll approval, collect early feedback before the hotel/registration push.
  • Week of May 12–16, 2026 — Contracts & registration meeting. Focus: Hotel Blackhawk venue contract, room block negotiation, Stripe/registration launch plan. Keep separate from the walkthrough so neither agenda gets crowded.
  • After May, monthly or bi-monthly check-ins through end of 2026 to track vendor bookings (AV, entertainment, catering) and registration momentum.

Town Hall Rhythm

  • Town Hall #1 — July or August 2026. Introductory session while the site is still fresh. Purpose: present the site to classmates, answer questions live, drive check-ins before the fall push. Natural checkpoint before the heavy vendor booking window (Aug–Oct 2026).
  • Town Hall #2 — November 2026. Timed after the one-year-out email blast (Oct 15). Registration is open, hotel block is live. Purpose: "here's what's happening, here's how to register."
  • Town Hall #3 — April 2027. Event schedule preview and Q&A, six months out. Purpose: "here's the weekend, here's what to expect."
  • If January 2027 registration numbers are soft, consider adding a fourth town hall in Jan/Feb 2027 as a registration push.

Hotel Room Block Broadcast Timing

  • Block is live now (April 2026) with no deposit and flexible cancellation — but sending a standalone email 17 months out is too early. Most classmates won't act and risk forgetting to rebook after cancelling.
  • Recommended: pair the hotel block email with Town Hall #1 (Jul/Aug 2026) — by then the site has been live 3–4 months, more classmates have checked in, and the town hall announcement gives people a reason to engage. Frame it as: "town hall coming up, and rooms are already available at our group rate."
  • If an email goes out before the town hall (May/June), mention the room block as a postscript rather than a dedicated send — keeps it visible without burning a standalone broadcast on it too early.
